Simplify employee time-off management with a fully customizable Leave Request system in SharePoint, powered by Infowise Ultimate Forms. This solution enables you to submit, track, and approve leave requests while adapting to your organization’s unique workflow.

The process starts when an employee submits a leave request using a dynamic form built with the Form Designer. Fields can adapt based on conditions, ensuring all required information is captured upfront.

Once submitted, Actions automatically calculates the number of days for the request. Managers are notified through Alerts, allowing them to review and approve or reject the request. Additional steps can be included, such as requiring task completion before approval using Associated Items, ensuring proper handover.

Throughout the process, tab and column permissions control who can view and edit specific information, maintaining a clear and secure workflow for employees, managers, and HR.

All requests are displayed in a color-coded calendar view, providing instant visibility into upcoming absences, overlaps, and approval statuses. This helps teams plan more effectively and avoid scheduling conflicts.


The process is made up of 2 to 4 stages:

  1. Request submitted - employee submits request stating time period and reason for leave. An email alert is sent to the manager. Employees can both conveniently submit requests online, as well as check on the current status of their requests.
  2. Tasks created (optional) - manager can assign multiple tasks that need to be completed prior to approval. Tasks are created directly from within the request, never losing the context. Tasks can be assigned to any person, not just the requester. Tasks are individually tracked and visible by each person in his or her My Tasks view.
  3. Tasks completed (optional) - each task is completed by the assigned person. Tasks are color-coded by status so you can easily see which tasks haven't been completed yet. You can even set up an alert to be sent when a task is not completed by the due date. View both the requests and the task progress directly on the calendar. You can even complete your tasks directly from the calendar.
  4. Approval - leave requests are approved or rejected by the manager. An email alert can be sent when the approval is given.
