Challenge: PDI Solutions wanted an easy-to-use automated system to handle worker timesheets and deliver reporting output to customers using SharePoint and Microsoft 365.
Solution: A weekly timesheet system was built using Infowise Ultimate Forms which incorporates easy-to-use time entry, expense tracking, customer approvals, visual dashboards and PDF reports.
Impact: PDI workers can enter weekly timesheet data using a dynamic form with simple inputs. Timesheets are sent to customers for approval and PDF reports are generated automatically. The solution is fully automated and eliminates manual updates.
Project:
Processing timesheets from Excel workbooks has some significant drawbacks. Each workbook is a separate file and doesn’t allow for centralized dashboards, automated emails or approvals. When using workbooks, there is a lot of manual effort involved which translates to extra time and money.
In a business that has hundreds of workers, a more efficient system is necessary. Each step should be easy and automatic. SharePoint is a great place to host an automated timesheet system because it allows users to collaborate in a shared workspace. However, SharePoint needs additional tools to host a complete timesheet solution.
Infowise Ultimate Forms provides additional functionality including fully dynamic forms, automated email notifications and PDF print reports.
The project began by recreating the timesheet in a user-friendly dynamic web form. This form works on laptops, tablets or phones, meaning that workers can enter timesheets from anywhere. Building an easy-to-use form was essential since this is where most of the work is done.
After the form was finished, automatic email notification rules were set up. Using Ultimate Forms, this is easy to manage through email alert rules. No custom coding is required. Customers receive the timesheet report from workers automatically and can reply via email by simply writing “Approved” in the email.
In the last phase of the project, custom PDF print templates were created to capture all the timesheet data including approvals. These are generated automatically without any additional steps. Human Resources staff can access the timesheets library to check records at any time.
Using Microsoft 365 along with Infowise Ultimate Forms has enabled the business to work efficiently and deliver great customer service. The new solution is processing hundreds of timesheet reports and approvals automatically.
